Metadata is data about data such as when a file was created and by whom. Metadata can be used to help you find important information quickly or to define how the item behaves when it is displayed. KnowledgeWorkshop provides multiple methods for choosing the important information within an item, describing and classifying it.
Item properties enable you to control the behavior of an item in KnowledgeWorkshop. You may want an item to always open in a new window or save the username and password to a restricted access web site as part of the metadata so that it is automatically supplied to the server when you open the page. You can also describe the contents of the item so you can choose the correct item before spending time downloading it.
Highlighting content within an item is a way of defining a section of text as important in some way. Highlight color can be used to classify the information. This could be by degree of importance or one could decide that all address information found in items will be highlighted in yellow. Since KnowledgeWorkshop enables you to sort highlights by color you could therefore quickly find all address information in your items.
Annotations are notes added within the body of a web page or email. They can be used to explain a concept or as a reminder of related information for example.
Attributes provide a mechanism for defining critical sets of information and storing and comparing values between items.
While every item in your tree is automatically indexed for searching, selecting keywords and phrases enables you to define the most critical descriptive terms about an item and add them to a list that can be used to quickly find the item again.
Categories are used to assign items to broad groups of information. An item could be assigned the Work and Expenses category. In the advanced search tool you could then show all items that have the Work category assigned.
