Generate items dynamically from the file system

KnowledgeWorkshop has a powerful feature called a Folder Watch which enables you to create items based on the files contained within a folder and its subfolders located anywhere within your file system.  Items are only created for the file types you chose in the filter settings of this feature.  KnowledgeWorkshop periodically background scans your watched folders looking for new files and creates items for them in your item tree.  The default scan interval of 15 minutes can be changed in the options menu.  As items are created for discovered files they are also indexed for search purposes.  

 

The benefit of this feature is that you don't have to manually create items for these new files - items will automatically be created for them in your items tree in a place of your choosing.  In addition, if the watched folder is shared by a number of people (e.g. a project team file folder on a network drive or a shared folder on your drive), it is a convenient way for everyone to keep in sync.

Create a Folder Watch

To create a folder watch:

  1. From the [Tool] text menu select [Manage Folder Watches..] OR Expand the Administration Item in your tree and double click on Folder Watches.

  2. Click on the [New] button in the Folder Watches dialog box

  3. Enter the properties for the watch.

Manage Folder Watches

You can change the properties and even suspend watches:

  1. From the [Tool] text menu select [Manage Folder Watches..] OR Expand the Administration Item in your tree and double click on Folder Watches.

  2. Either double click the existing watch listed in the table or select it and click on the [Edit] button in the Folder Watches dialog box

  3. Modify the properties for the watch.
